HighLevel has three calendar systems — Meetings, Services and Rentals — and they are not interchangeable. Meetings is for virtual appointments and meetings that aren't a priced service. Services is for in-person operations with staff, rooms and per-service pricing. Rentals is for asset inventory like vehicles or properties. Pick the wrong one and you'll rebuild everything later. This article explains which one fits your business, with the real case of a psychology clinic running 17 specialists.
Meetings: for virtual appointments and calls
Use Meetings when the appointment is virtual, or in person but not a priced service with assigned staff. When you create a Meetings calendar you choose from five types:
- Personal Booking: one-on-one with you.
- Round Robin: for sales teams. Same availability across several people; each booking rotates between them.
- Class Booking: one host, multiple attendees with a cap. Webinars, classes, conferences.
- Collective Booking: multiple hosts, one attendee. Hiring interviews, for example.
- Event Calendar: a fixed date with no assigned host.
Every Meetings calendar can connect Zoom or Google Meet, include a pre-booking form, collect payment, and send native notifications.
Services: for in-person businesses with staff
Services is for clinics, salons, spas, repair shops, any operation where the client picks a service, a specialist and a time. Each staff member has a profile, photo, bio, availability and per-service pricing. You also define:
- Resources: the rooms or physical spaces occupied during the appointment.
- Add-ons: extra services the client can attach when booking.
- Locations: if you have more than one.
- Payment at booking: optional, charge when they reserve.
The client sees a booking page with every service, sortable by name, price or category.
Rentals: for asset inventory
Rentals works like an Airbnb listing. Each unit is an inventory item with a base rate, seasonal pricing, day-of-week or hourly pricing, duration discounts, and a security deposit. Use it for vehicles, equipment, vacation properties or event spaces. It's in beta, so plan accordingly.
Real case: psychology clinic with 17 specialists
When they came to us they had no website, no automations, and five separate manual calendars. Everything came in through WhatsApp and the team coordinated schedules by hand.
Today their website asks the patient whether they want a virtual or in-person appointment. Virtual runs on Meetings: each specialist has a calendar connected to their own Google Meet, and the patient gets the link on booking. In-person runs on Services: the patient picks the evaluation type, sees that specialist's availability, and answers the intake questions the clinic needs. If the appointment is for a minor, the form asks for the child's information; if not, it doesn't.
Behind the scenes: 17 specialists as staff, every consultation room as a resource, evaluations as add-ons. And 24 hours before each appointment, a workflow asks the patient to confirm or cancel via WhatsApp. Confirm → the appointment confirms itself. Cancel → the team gets notified.

Which calendar does your business need?
Virtual appointments or meetings without per-service pricing: Meetings. Salon, spa, clinic or any in-person service with staff: Services. Renting vehicles, equipment, apartments or properties: Rentals. Many businesses run two at once, like the clinic in this example.
Frequently asked questions about HighLevel calendars
Can I use Meetings for a clinic?
Only for virtual appointments. For in-person with a specialist, a room and a price, use Services. Meetings won't let you manage resources or add-ons.
Does HighLevel replace Calendly?
Yes. Meetings covers everything Calendly does, and it's connected to the CRM, workflows and payments.
Can each specialist have their own Zoom?
Yes. Each staff member connects their own Zoom or Google Meet, and the patient receives the right link based on who they booked with.
Can I charge at booking?
Yes, in both Meetings and Services. Connect Stripe or another gateway and the client pays before the appointment confirms.
